Kinily (“Kinily,” “we,” “us,” or “our”) helps families organize their busy lives together. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to our website at kinily.com, our mobile applications, and related services (collectively, the “Platform”). By using the Platform, you agree to this Privacy Policy, which is incorporated into our Terms of Service.

Information We Collect

We collect information depending on how you use Kinily. We collect only what we need to provide the Platform.

Account and profile information

When you register or are invited to a family account, we collect information such as your name, email address, password, time zone, and profile photo. Account owners may also provide a family or household name.

Family and household content

When you use Kinily, you and other members of your household may enter information that can identify you or your family, including:

Calendar events (titles, descriptions, dates, times, locations, and coordinates when you use address lookup)
Todos, lists, and notes
Meal plans, recipes, and ingredients
Children’s names and related scheduling information you add to the Platform
Home and appliance information you choose to store
Contacts you add to your account

This content is shared with other users you invite to the same family account according to your account settings.

Email inbox forwarding

Each family account may have a dedicated forwarding address (for example, yourfamily@kinily.com). If you forward or send email to that address, we receive and process the message content, subject line, sender and recipient addresses, and any attachments. We use this information to create calendar events and send you notifications about what was added. Email processing may involve artificial intelligence services as described below. We do not operate a full email mailbox; this feature is for forwarding messages into Kinily.

Kinily Assistant (AI features)

If you use Kinily Assistant, we collect the messages and images you send in chat, conversation history, and contextual information from your account that the assistant needs to respond (such as tasks, events, recipes, or meal plans when you ask it to create or look up items). Kinily Assistant is powered in part by third-party AI providers, including OpenAI. AI features run only when you initiate them; they do not take actions on your account without your request.

Payment information

If you subscribe to a paid plan, payment details are collected and processed by our payment processor (such as Stripe). We do not store full credit card numbers on our servers. We may receive billing contact information, subscription status, and limited transaction details.

Device, push notifications, and analytics

We automatically collect certain technical information when you use the Platform, including:

IP address, browser type, device type, and operating system
Log data about how you use the Platform (pages viewed, features used, errors)
Session cookies to keep you signed in on the web
Push notification device tokens when you enable notifications on a mobile device
Product analytics through PostHog (which may be associated with your account email in production)
Website analytics through Google Analytics, when enabled

Communications with us

If you contact support or otherwise communicate with us, we collect the information you provide, such as your name, email address, and the content of your message.

California privacy categories

For California residents, the following table summarizes categories of personal information we collect and our typical purposes. We do not sell personal information.

Identifiers (name, email, IP address, account ID) — to provide the Platform, support, security, and analytics
Customer records (name, email, billing contact info) — to manage your account and subscriptions
Commercial information (subscription and purchase history) — to process payments and manage your plan
Internet or network activity (usage logs, analytics events) — to operate, improve, and secure the Platform
Geolocation data (event locations, coordinates from address lookup) — only when you enter or select a location
Audio, electronic, or visual information (profile photos, images you attach in Kinily Assistant) — only when you upload them

We do not intentionally collect Social Security numbers, government ID numbers, health information, or other sensitive categories unless you voluntarily include them in content you store on the Platform (for example, in a note or event description).

How We Use Your Information

We use personal information to:

Provide, maintain, and improve the Platform
Authenticate users and manage family accounts and invitations
Process forwarded emails and AI-assisted features you request
Send transactional emails and push notifications (such as event reminders and inbox confirmations)
Process subscriptions and billing
Monitor usage, debug issues, and protect against fraud and abuse
Respond to support requests and communicate with you about the Platform
Comply with legal obligations

We may use aggregated or de-identified information that cannot reasonably identify you for analytics and product improvement. We do not use your personal information to serve targeted advertising within the Platform.

How We Share Your Information

We share personal information with service providers who help us operate Kinily. They may use your information only to perform services for us. Our service providers include:

Render — cloud hosting
Mailgun — transactional email delivery and inbound email processing
OpenRouter — AI routing for features such as email parsing, Kinily Assistant, and recipe import (models may include OpenAI)
PostHog — product analytics and feature flags
Google Analytics — website usage analytics, when enabled
Google Maps Platform — address autocomplete and location lookup for events
Stripe — payment processing, when you subscribe to a paid plan
Apple Push Notification service — mobile push notifications, when enabled

We may also share information:

With other members of your family account, according to how the Platform is designed to share household data
If required by law, court order, or legal process
To protect the rights, safety, and security of Kinily, our users, or others
In connection with a merger, acquisition, or sale of assets (we will notify you where required by law)
With your direction or consent

Artificial Intelligence

Kinily uses AI to power certain optional features, including Kinily Assistant chat, parsing forwarded emails into calendar events, importing recipes from URLs, and similar tools you initiate. When you use these features:

Your inputs (messages, email content, attachments, images, and relevant account context) may be sent to OpenAI or other AI providers we use
Outputs are returned to you through the Platform
We use AI providers solely to deliver the feature you requested
We do not use your content to train our own generalized AI models
We contractually require AI providers not to use your personal information to train their models, consistent with their API terms

You can avoid AI processing by not using Kinily Assistant, not forwarding email to your Kinily inbox address, and not using other AI-powered features. Core features such as manually creating events, todos, and meal plans do not require AI.

If we add or change a third-party AI provider, we will update this Privacy Policy and, where appropriate, notify you by email before the change takes effect.

Google Services

Kinily uses Google Maps Platform to suggest addresses when you enter event locations. When you select a suggestion, location details may be sent to Google according to Google’s Privacy Policy.

We may use Google Analytics on our website to understand aggregate usage. Google Analytics collects information through cookies according to Google’s policies.

Kinily does not connect to your Google Gmail or Google Calendar account through Google Workspace APIs. Email and calendar data enters Kinily only when you or your family manually enter it or forward email to your Kinily inbox address.

Your Choices and Rights

You may access and update much of your account information by signing in. You may opt out of marketing emails using the unsubscribe link in those messages. Transactional emails related to your account will still be sent.

You may disable push notifications in your device settings. You may block cookies in your browser, though some web features may not work without session cookies.

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at mikejahn@hey.com. We may need to verify your identity before responding.

California residents may have additional rights under the CCPA/CPRA, including the right to know what we collect, request deletion, and not be discriminated against for exercising your rights. We do not sell personal information.

We do not respond to “Do Not Track” browser signals.

Security

We use commercially reasonable safeguards to protect your information, including encryption in transit (HTTPS/TLS) and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain your information for as long as your account is active or as needed to provide the Platform. If you delete your account, your content becomes inaccessible immediately. We delete personal information from active systems within 30 days and from backups within 60 days, except where we must retain information to comply with law or resolve disputes.

International Transfers

Kinily is operated in the United States. If you use the Platform from outside the United States, your information may be transferred to and processed in the United States or other countries where our service providers operate, which may have different data protection laws than your country.

Children’s Privacy

Kinily is not directed to children under 13, and you must be at least 13 to create an account. Parents and guardians may add information about children under 13 (such as names and schedules) to a family account. If you do so, you represent that you have authority to provide that information and consent to our processing of it as described in this Privacy Policy, including processing through AI features if you choose to use them.

If you believe we have collected personal information from a child under 13 without appropriate consent, please contact us at mikejahn@hey.com and we will take steps to delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on our website and update the “Last Updated” date. Continued use of the Platform after changes become effective constitutes acceptance of the updated policy.
